Manage Exhibitor Access Codes

This article explains how to create, import, manage, and delete Exhibitor Access Codes in Launchpad.

Exhibitor Access Codes are a critical part of managing controlled registration flows in Launchpad. Whether you're limiting access to specific exhibitor types or streamlining the assignment of sponsorship packages and registration statuses, access codes allow you to enforce rules while simplifying the registration process for your exhibitors. Launchpad makes it easy to create, import, assign, and manage these codes through a user-friendly admin interface.


Accessing the Access Codes page

To begin, go to:
Setup > Exhibitor > Access Codes

From here, you can:

  • Add an access code

  • Import access codes

  • Edit an access code

  • Deactivate or activate an access code

  • Delete an access code

  • Clear unused codes


How to add an access code

  1. Select Add Access Code from the Actions dropdown.

  2. Fill out the Description section:

    • Access Code: Enter the code (alphanumeric)

    • Description: Short description of its use

    • Notes: Internal notes for Admins

  3. Under Controls, define availability:

    • Start/End Dates

    • Total Available or check Unlimited

  4. In Auto-Set, pre-define registration attributes:

    • Exhibitor Type

    • Registration Status (Confirmed, Unconfirmed, etc.)

    • Sponsorship Package

    • Housing Sub Block

  5. Click Save

🔄 To activate or deactivate the access code, use the status toggle or buttons in the access code list or profile.


How to import access codes

  1. Go to: Setup > Exhibitor > Access Codes > Actions > Import Access Codes

Step 1: Download the import template

  • Click Download Access Code Template

  • Open the CSV file and populate:

    • Access Code

    • Description

    • Start/End Date

    • Notes

    • Total Available

    • Active/Inactive status

    • Classification Type, Default Role/Sub-Role

    • Primary Package

    • Default Housing Block

  • Save as a CSV file

Step 2: Upload the file

  • Click Browse, select your CSV file, then Save

  • Review the Import Summary Report for:

    • Successes and failures

    • Error download options (XLS/CSV)

    • Previous imports dropdown


How to edit an access code

  1. Click the Edit Icon next to the access code

  2. Update any of the fields (see Add an Access Code section)

  3. Click Save


How to activate or deactivate an access code

From the access code list:

  • Click the Active/Inactive toggle button

  • Confirm in the dialog box

From the access code profile:

  • Click the Edit Icon

  • Use the Active/Inactive buttons under the status section

  • Click Save


How to delete an access code

From the access code list:

  • Click the Delete Icon

  • Confirm the deletion in the pop-up box

From the access code profile:

  • Click the Edit Icon

  • Click the Delete button

  • Confirm in the dialog box

⚠️ Codes that have been used in a registration cannot be deleted. Deactivate them instead to prevent future use.


How to clear unused codes

  1. From the Actions dropdown, select Clear Unused Codes

  2. Confirm deletion in the pop-up box
