Access codes are a powerful tool for controlling entry to your public registration site. By requiring a code, you can ensure that only qualified attendees or invited guests can sign up for the entire event or specific classification types. This automated gatekeeping reduces manual oversight and allows you to offer exclusive access or pre-set packages to targeted groups.
How do I open the Access Codes page?
Go to Event Setup
Click Registration
Select Access Codes
This will take you to the Access Codes listing page.
From the Access Codes screen, you can:
Add an Access Code
Import Access Codes
Edit an Access Code
Deactivate or Activate an Access Code
Delete an Access Code
Clear Unused Access Codes
To search or filter access codes:
Click the filter icon in the column header to apply filters
Click the search icon to open a keyword search and dropdown for search type
By default, filters are expanded and the search is collapsed.
How do I add an Access Code?
Click Add Access Code
Fill in the Description section:
Access Code (required): The code users will enter
Description: Internal purpose of the code (up to 255 characters)
Notes: Additional internal notes for Admin users
Fill in the Controls section:
Start Date (optional): When the code becomes valid
End Date (optional): When the code expires
Total Available: Max uses (leave blank if unlimited)
Unlimited: Check this to ignore total limits
Fill in the Auto-Set section (optional defaults for the user):
Tier 1 Classification
Package
Click Save
If needed, click Inactivate to activate the code, then confirm and click Save again
How do I import Access Codes in bulk?
Go to Setup → Registration → Access Codes
Click the dropdown menu and select Import Access Codes
Download the Template
Click Download Access Code Template
Open the file and fill out the fields (do not delete columns)
Required: Access Code, optional: Start/End Date, Notes, Classification Type, etc.
Save the file as a CSV
Upload the CSV
Click Browse and select the CSV file
Click Save
View the Import Summary Report, which shows:
Successful and failed imports
Links to download all rows or error rows
Use the Select Import dropdown to view previous imports
How do I edit an Access Code?
Click the Edit icon next to the code name
Update fields as needed (see “Add an Access Code” section)
Click Save
The top banner shows who created or modified the code and when.
How do I activate or deactivate a code?
From the Access Code List:
Click the Active or Inactive button beside the code
Confirm in the dialog box
From the Code Profile:
Click the Edit icon
Toggle the Active/Inactive button in the Status section
Click Save
How do I delete an Access Code?
From the Access Code List:
Click the Delete icon beside the code
Confirm deletion
From the Code Profile:
Click the Edit icon
Click the Delete button
Confirm in the dialog box
You can also clear unused codes:
From the Actions dropdown, select Clear Unused Codes
Confirm in the pop-up window
This will remove all codes that were never used in a registration.
