Manage exhibitor documents

Learn how to manage exhibitor documents in Launchpad, including uploading, assigning permissions, and editing or deleting files that are visible to exhibitors in their profiles or during the registration process.

Exhibitor documents are files that explain expo‑hall rules or other information provided for an exhibitor’s reference.

To access the Exhibitor Documents page in Launchpad, go to: Setup > Exhibitor > Exhibitor Documents

On the Exhibitor Documents page you can:

  • Add an exhibitor document

  • View an uploaded document

  • Edit a document

  • Delete a document


Add an exhibitor document

  1. Select Upload Document from the Actions dropdown menu.

  2. On the Add Exhibitor Document page, fill in the required fields in the Document Information section:

    • Title: Type the label for the document

    • Upload Document: Click Browse to locate and upload the file

    • Remove Attachment: If you are replacing a document, check this box to remove the old file

    • Description: Enter a short note about the document

  3. In the Document Permissions section, set who should have access:

    • Yes I want all exhibitors to have access to this file: Choose this if all exhibitors should see it

    • No I want to set permissions for this file: Choose this to restrict viewing by:

      • Sponsorship packages — select packages whose exhibitors should see the file

      • Ancillary sponsorships — select applicable ancillary items

      • Exhibitors — select individual exhibitors by name

    Note: documents will appear under the “Docs & Tasks” tab in each exhibitor’s profile.

  4. Click Save to upload and assign the document.


View an uploaded document

Via the public registration site

Exhibitors who have permission will see a link to download the document on the Review Page during their registration process. No Page Builder element is required for the link to appear.

Via the event admin portal

Admins can view uploaded documents by opening an exhibitor’s profile and going to the Docs & Tasks tab.
Alternatively, from the Exhibitor Documents report:

  1. Open Setup > Exhibitor > Exhibitor Documents

  2. Click the Edit icon next to the document’s name

  3. Click the underlined document title to open or download it


Edit an exhibitor document

  1. On the Exhibitor Documents page, click the Edit icon beside the document you want to change

  2. Update the fields as needed — title, file, permissions, description, etc.

  3. Click Save


Delete a document

  1. On the Exhibitor Documents page, click the Delete icon next to the document you wish to remove

  2. Confirm deletion in the dialog that appears by clicking OK

Whether you're targeting documents by sponsorship tier or making them available to all exhibitors, this feature ensures that the right people receive the right information at the right time—enhancing both exhibitor satisfaction and operational efficiency.
