Manage Exhibitor Promo Codes

Exhibitor promo codes provide flexible, targeted discounts for booth rentals, sponsorship packages, and ancillary items. You can configure these codes with customizable rules, automate classifications, and monitor real-time usage with built-in reporting.

Launchpad enables you to define and manage exhibitor promo codes that apply dollar, percentage, or fixed-rate discounts to sponsorship purchases. Whether granting exclusive deals to booth staff or bulk-importing codes for major sponsors, you’ll have full control over activation, usage limits, eligibility, and applied discounts, all from one centralized interface.


Access the promo codes page

Go to Setup › Exhibitor › Exhibitor Promo Codes. From there you can:

  • add a promo code

  • import promo codes in bulk

  • edit an existing code

  • delete codes

  • activate or deactivate codes

  • view a usage report for any code


How to add a promo code

  1. Select Add promo code from the Actions dropdown.

  2. Under Description, fill in:

    • Promo code — the code registrants enter (not case sensitive)

    • Name — a brief label (e.g. “Booth‑staff discount”)

    • Notes — optional admin-only notes (up to 255 characters)

  3. Under Controls, set limitations:

    • Start date / end date — code validity window

    • Number available or check Unlimited for unlimited use

    • Exhibitor type — optional restriction to a specific exhibitor type (leave blank to allow all)

  4. Under Auto set, assign default values applied when the code is used:

    • Exhibitor type

    • Sponsorship package

  5. Click Save to proceed.

  6. On the next screen, define discount details:

    • Applies to — choose full registration, a specific sponsorship package, or ancillary sponsorship

    • Discount type — “Percent off”, “Amount off”, or “Fixed amount”

    • Amount — enter the discount value (numeric only, no symbols)

  7. Click Save.

  8. To add additional discounts (e.g. multiple sponsorship items), click the Add icon and repeat the discount configuration.

  9. Click Save to finalize the promo code.


How to import promo codes in bulk

  1. Navigate to Exhibitor Promo Codes › Actions › Import Exhibitor Promo Codes.

  2. Click Download promo code template and save the file.

  3. Populate the CSV template — do not delete columns, leave blanks if needed. Fields include: code, name, notes, active status, dates, usage limits, exhibitor type, auto‑set fields, discount category, discount applies to, discount type, and discount amount.

  4. Save the file as CSV.

  5. Upload via Browse → Save.

  6. Review the Import summary report to see the number of successful and failed records. Download error rows if needed for review.

  7. Use the “Select import” dropdown to inspect previous imports.


How to edit a promo code

  1. Click the Edit icon next to the desired promo code.

  2. Modify any fields — descriptions, limits, discounts, etc.

  3. Click Save to apply changes.


How to delete a promo code

  1. Click the Delete icon next to the code in the list.

  2. Confirm by clicking OK in the dialog.


How to activate or deactivate a promo code

You can toggle status either from the code list or inside its profile:

  • From the list: click the “Active” / “Inactive” button, then confirm.

  • From the code’s edit view: choose “Activate promo code” or “Deactivate promo code” from the Actions dropdown, then save.


How to view promo code usage

From the promo code listing, click on either the number under a registration status column or the “Total Uses” column to see which registrants used that code. This provides a real‑time report of code usage and who has redeemed it.
