Manage exhibitor sponsorship packages

Exhibitor sponsorship packages are pre‑defined bundles of sponsorship items that exhibitors or sponsors can purchase to gain visibility at events

Updated over a month ago

Sponsorship packages simplify exhibitor options by combining multiple sponsorship items into a single offering. Rather than having exhibitors pick individual items (booths, add‑ons, ancillary sponsorships), packages present a streamlined option that bundles what you want to offer. With Launchpad, you can define exactly which items belong in each package, set price tiers per exhibitor type, control availability and visibility, and manage display order.

How to access the Sponsorship Packages page

Navigate to: Setup › Exhibitor › Exhibitor Sponsorship Packages

On the “Sponsorship Packages” page you can:

  • Add a new sponsorship package

  • Edit an existing sponsorship package

  • Set the display order of packages

  • Delete a sponsorship package

How to add a new sponsorship package

  1. Select Add Sponsorship Package from the Actions dropdown.

  2. In the Details section, fill out:

    • Name: Label for the package

    • (Optional) Use name from Sponsorship Item — when checked, the package inherits the name of a sponsorship item and disables the Name field

    • Total Available or check Unlimited if there is no limit

    • Visible to Public: check to display the package on public registration pages

    • Description: text shown to exhibitors describing what the package includes

  3. In the Value Added Tax section: check all applicable tax labels that should apply to this package.

  4. In the Prices section: define one or more pricing tiers based on exhibitor type or financial account. For each price tier:

    • Click the Add icon

    • Select the Account (financial account for payment deposit) if more than one exists

    • Select Exhibitor Type eligible for this price

    • Enter Price (numeric, no currency symbols)

    • Repeat as needed for other exhibitor types or accounts

    • Use the Move icon to reorder price tiers if necessary, or the Delete icon to remove a tier

  5. In the Limit To section: select which exhibitor types are allowed to purchase this package.

  6. In the Auto Set Sub‑Block section: if applicable, check to assign a housing sub‑block to exhibitors who purchase this package.

  7. In the Booth Selection Date field: define the earliest date when package holders will be allowed to select a booth (use calendar picker).

  8. In the Sponsorship Items section: add the sponsorship items that belong to this package:

    • Click the Add icon to open the list of available sponsorship items

    • Select one item at a time to include

    • Use the Move icon to reorder them, or Delete to remove any item from the package

  9. Click Save to finish creating the package.

How to set the display order of packages

  1. Choose Sort Display Order from the Actions dropdown.

  2. Hover over a package name, then click and drag it into your preferred order.

  3. Click Save to apply the new ordering.

How to edit an existing sponsorship package

  1. Click the Edit icon next to the package you wish to change.

  2. Update any of the fields (details, pricing, included items, visibility, etc.).

  3. Click Save to apply changes.

How to delete a sponsorship package

Important: If an exhibitor is already associated with a package, you must first reassign them to a different package before deletion. Also, packages tied to any active promo codes cannot be deleted.

  1. Click the Delete icon next to the package.

  2. In the confirmation dialog box, click OK to confirm deletion.

Sponsorship packages in Launchpad provide a flexible and powerful way to offer exhibitors bundled sponsorship options — from booth space to ancillary items — in a convenient, pre-configured format. By carefully defining packages, pricing tiers, item inclusions, and availability controls, you simplify the purchasing process for exhibitors while maintaining precise control over your sponsorship offerings.
