Manage exhibitor sponsorships

This article explains how to manage exhibitor sponsorships by assigning sponsorship packages, sponsored sessions, and ancillary sponsorships through the Exhibitor record.

Managing exhibitor sponsorships lets you customize each exhibitor's participation in your event. You can assign sponsorship packages, sessions, and ancillary sponsorship items like branded lanyards or banners. This ensures exhibitors receive the exposure they’ve purchased and allows you to control confirmation, inventory, and revenue tracking in a central place. Whether sponsorships are purchased through public registration or manually assigned by an admin, this tool provides full control over each exhibitor’s entitlements and visibility.


Access exhibitor sponsorships

  1. Perform a Quick Search or Advanced Search to locate the exhibitor.

  2. Click the Edit icon next to the desired exhibitor.

  3. Click the Sponsorships tab.

  4. The Exhibitor Sponsorships tab will appear.


Assign a sponsorship package

In the Selected Packages section:

  1. From the Selected packages dropdown, choose the sponsorship package to assign.

  2. The package will automatically be linked to the exhibitor.


Assign sponsored sessions

In the Sponsored Sessions section:

  1. From the Sponsored sessions dropdown, choose the session(s) to assign.

  2. Multiple sessions can be assigned if applicable.


Assign ancillary sponsorships

In the Ancillary Sponsorship section:

  1. Click the Add icon to open the ancillary sponsorship selection dialog.

  2. The Ancillary Sponsorship dialog window will appear.

  3. Expand the appropriate Sponsorship Type section.

  4. Select the desired ancillary item(s).

  5. The item(s) will appear in the main list for editing.

Configure ancillary sponsorship settings

For each selected item:

  • Status:

    • Selected: Item has been chosen but not yet confirmed.

    • Confirmed: Item has been approved by an admin.

  • Quantity:

    • Type the number of units the exhibitor is allowed to purchase or has requested.

Repeat the above steps for each additional ancillary sponsorship you wish to assign.

Once all sponsorships, sessions, and ancillary items have been assigned:

Click Save at the bottom of the page to apply the changes.


The exhibitor sponsorships tab gives you direct control over what each exhibitor has purchased or been assigned — including core sponsorship packages, session visibility, and promotional opportunities through ancillary items. Confirming these selections helps prevent errors, enforces inventory control, and ensures that both you and the exhibitor are aligned on deliverables. Keeping this area up to date is essential for accurate reporting, billing, and event-day execution.
