Run and export exhibitor reports

Learn how to view, filter, and export exhibitor and sponsor reports, including registration, financials, task tracking, and promotional code usage.

Exhibitor reports provide instant access to real-time data on exhibitor registration, financial transactions, booth assignments, and sponsor packages. These reports help event managers track revenue, identify outstanding tasks, and verify promo or access code usage. Built-in filters and saved searches allow you to customize reporting by exhibitor type, sponsorship level, and more. Reports are exportable in multiple formats for offline analysis, presentations, or integration with external systems.


How do I view exhibitor or sponsor reports?

  1. Go to the Exhibitor module > Reports menu

  2. Click the orange arrowhead to expand the list of available reports

  3. Select the report you want to view

Each report offers drill-down functionality on the Company name field, letting you access individual registrant profiles for updates or corrections.


What types of exhibitor reports are available?

Status reports

  • All: Displays all exhibitors with their current registration status

  • Registered status listing: Shows both confirmed and unconfirmed exhibitors

  • Confirmed status listing: Lists only those who passed registration QC

  • Unconfirmed status listing: Lists those who registered but need QC

  • Canceled status listing: Shows canceled records (retained for reporting)

Financial reports

Includes payment status, method, revenue summaries, and discounts.

  • Payment type: Details payments by method (cash, card, check, etc.)

    • Credit card reports include AVS fields such as invoice number, address match, and country validation

  • Payment status: Displays company name, amount paid, balance due or overpayment

  • Promo code usage: Tracks usage across booth staff and exhibitor promo codes

  • Access code usage: Tracks access code use with counts and percentage used

  • Exhibitor booth revenue summary: Breaks down booth type, sales, comps, and projected revenue

  • Exhibitor package revenue summary: Similar summary for sponsorship packages

  • Ancillary sponsorship revenue summary: Summary for add-on sponsorship items

  • Exhibitor revenue summary: Consolidated totals for booths, packages, ancillary items, and fees

  • Exhibitor discounts: Lists discounts by company and account

  • Ad hoc charges: Displays charges applied outside standard pricing

Exhibitor tracking reports

  • Exhibitor invitation status: Tracks invitations sent and accepted, plus codes used

  • Tasks reports: Track all assigned, incomplete, and overdue exhibitor tasks

  • Exhibitor asset report: Summarizes company data, contact info, booths, and task submissions

  • Package sponsors listing report: Details sponsors and their registration status

  • Ancillary sponsorship listing report: Lists companies with ancillary sponsorships

  • Booth staff report: Lists booth staff tied to specific booths via promo codes

  • Booth listings report: Displays booth assignments and linked exhibitor companies

  • Booth types report: Shows total booth types available and assigned


How do I create and share saved searches?

You can customize any report using search filters, then save it for future use or share with team members.

  • Apply your filters on any report view

  • Click Save search and enter a name

  • Use the Share icon to send to other admin users in the system

Saved searches will appear in your personal reports list for quick access.


How do I export a report?

Reports can be exported in CSV, XML, or PDF format.

  1. Open the report you want to export

  2. Click one of the Export buttons available at the top of the report

  3. A dialog box will appear β€” click OK to download the file

You can open the exported file in external tools like Excel or share with stakeholders.


Manage the Exhibitor Full Data Export

The Full Data Export is a collection of two reports, the exhibitor records report, which displays all registration information the system within one report, including a summary of the financial status for each exhibitor; and the Financial Transactions report, which displays all financial transactions for exhibitors.

  1. To access the Full Data Export, go to: Exhibitor module > Functions menu > Full Data Export.

  2. To download the Exhibitor Records export, click the Exhibitor Records link.

  3. To download the Financial Transactions, click the Financial Transactions link.
