Import registrations in bulk

Updated over a month ago

Registration imports allow admin users to load registrations into Launchpad in bulk. This includes ticket types, packages, promo codes, marketing codes, and more. Each import is time-stamped and can be reported on by using the Imported Date (User Time Zone) field in an advanced report.

To learn how to build advanced reports, see the article Create an advanced report.

To access the Import Registrations page:

  • Go to Event Setup

  • Click Registration

  • Select Import Registrations

From the Import Registrations page, the following actions can be performed:

  • Download the registrations template

  • Upload a CSV file

Download registrations template

The template allows you to bulk import data such as ticket types, promo codes, and registrant information.

  • Click the Download Registrations Template link under the Upload CSV field

  • A dialog box will appear. Click OK to open the file

  • Populate the template with your registration data. Leave fields blank if information is unavailable, but do not delete columns

Fields included in the template:

  • Registration Status: Save for later, Unconfirmed, Confirmed, Canceled (can be driven by promo code)

  • Ticket Type (Required): Specify the ticket type unless defined by a primary package

  • Registration Type: Early Bird Registration, Regular Registration, Late Registration

  • Attendee Type (Required): Category like attendee, exhibitor, VIP, student, speaker

  • PrimaryPackage: Name of the package linked to this registration

  • Promo Code: Enter promo code unless overridden by marketing code

  • Marketing Code: Enter marketing code for this registrant

  • Access Code: Enter access code for this registrant

  • Email (Required): Email used for login and communication

  • First Name (Required): Registrant’s first name

  • Last Name (Required): Registrant’s last name

  • Job Title: Registrant’s job title

  • Company: Company name

  • Address1 to Address4: Full address fields

  • City: City of residence

  • State: State or province

  • Postal Code: Zip or postal code

  • Country: Country name

  • CC Email: Secondary email for communications

  • Phone: Primary phone number

  • Mobile Phone: Mobile number

  • Save the completed file as a CSV

Important notes about failed imports:

  • The email address already exists in the event

  • The import exceeds max availability limits (if enforcement is on)

  • There’s a mismatch between imported values and related data, such as:

    • A primary package with a defined ticket/classification type conflicting with the import file

    • A marketing code that conflicts with the promo code provided

  • The import conflicts with filters in another data object (e.g., a promo code with a different classification type than the one defined in a package)

Upload CSV file

  • Click the Browse button next to the Upload CSV field

  • Select the CSV file saved from the previous step

  • Click Save

Once imported, the Import Summary page appears.

On the summary page:

  • View the number of successful and failed records under the Summary section

  • Under the Downloads section:

    • Click All Import Rows to download all records

    • Click Error Import Rows to download only the failed records

If records failed:

  • The Error Rows section will appear

  • To download the error report, click XLS or CSV

  • A dialog will appear. Click OK to confirm

To view previous imports:

  • Use the Select Import dropdown menu

  • Previous files are listed in chronological order

Using the bulk registration import tool allows for efficient data entry, especially for large events or pre-collected registration lists. By using the provided template and following validation rules, you can avoid errors and ensure accurate imports. For complete oversight, review import summaries and download error reports as needed.
