Use registration reports to track registrant data

The Reports menu in the registration module provides access to detailed reporting tools that help you monitor registrant activity, financials, event participation, and more. These reports support drill-down functionality, offer export options, and allow advanced tracking of registration-related metrics across multiple data points.


What can I do in the reports section?

In the Reports section, you can:

  • View a registration report

  • Export a report

  • Manage the full data export

Saved Search reports are also stored here.


How do I view a registration report?

  1. Navigate to: Registration > Reports menu.

  2. Click Registration reports to access available reports.

These reports are based on standard formats requested by clients. Additional custom reports are available in the Advanced reports section if configured.

Status reports

These reports show registrants by status: canceled, confirmed, unconfirmed, checked-in, or registered.

  • Canceled: Registrants who canceled; records are retained for reporting.

  • Confirmed: Registrants who completed registration and passed QC review.

  • Unconfirmed: Registrants who completed registration but have not passed QC.

  • Checked-in: Registrants who have arrived and signed in.

  • Registered: Includes both confirmed and unconfirmed registrants.

  • Save for later: Registrants who created an account but didn’t complete registration.

Check-in reports

  • Breakdown: Registrants checked in by date, Tier 1 classification, and time.

  • Classification type: Registrants grouped by Tier 1–3 classification levels. Includes counts of registrants not yet checked in. All numbers are drillable.

Financial reports

Shows financial details by payment type and registration status.

  • Promo code discounts: Displays discount info and promo code descriptions.

  • Revenue summary: Grouped by paid features (e.g., packages, ticket types).

    • Columns with a pound sign (#) show registrant counts.

    • Columns with a dollar sign ($) show revenue totals.

    • All totals are drillable.

  • Payment type: Shows processed date, payment amount, credit info, account, and registrant. Categories include cash, credit card (PayPal included), PO, check, and wire.

AVS fields in credit card report

Address Verification System (AVS) fields include:

  • INVNUM: Auto-filled with confirmation number.

  • Address, State, City, Zip: Yes / No / Unknown

  • Country: U.S. / Not U.S. / Unknown

Payment status reports

  • Balance due: Shows paid vs. outstanding amount.

  • Paid: Shows registrants who have paid in full.

  • Overpaid: Shows registrants who paid more than required.

    • Each displays tax info via an icon.

Discounts and charges

  • Discounts: Shows payment status, amount, account, and date applied.

  • Ad-hoc charges: Shows payment status and related account and amount.

Saved searches

Displays saved custom search reports the admin owns or has access to. Reports can be shared with admin groups.

Auxiliary events summary

  • Grouped and Ungrouped auxiliary events: Shows registrant count, guests, capacity, confirmed/unconfirmed status, total usage, and percent filled.

Other registration reports

  • Quality control needed: Lists registrants needing review (e.g., formatting).

💡 Quality Control (QC) allows Admins to apply event-specific standards to registration data, such as correcting capitalization for badges.

  1. Run an Advanced Search to filter the records needing review.

  2. Click the QC button in the top-right corner of the results page.

  3. Review each profile, make any edits, and click Mark QC Checked and View Next. Use Skip to move past records that don’t require changes.

  • Substitutes: Shows replaced registrants and their replacements.

  • Package usage: Displays availability, usage, and remaining count.

  • Purchasable items usage: Shows usage by item group and drill-down list.

  • Access code usage: Includes availability, usage, and registrants who used the code.

  • Classification type usage: Displays usage across tiers with drill-down access.

  • Marketing code usage: Lists confirmed, unconfirmed, and saved-for-later registrants per code.

  • Promo code usage: Displays usage rate, availability, and start/end dates.

  • Blocked domains: Lists blocked email domains and registration attempts.

  • Name change log: Shows before/after names with time stamps. Links go to change log.

  • Last modified: Lists all modified registrations, including name, company, payment status, and more. Edit icon links to registrant profile.

  • PayPal notifications:

    • Accepted transactions: Shows cleared PayPal Express payments.


How do I export a report?

  1. Click the CSV, XML, or PDF export button.

  2. A dialog box will appear.

  3. Click OK to download the file.


How do I manage the full data export?

The Full data export includes:

  • All registrations: Includes full records and financial summaries.

  • Financial transactions: Lists all financial activity.

To export:

  1. Go to: Registration module > Functions menu > Full data export.

  2. On the Full data export page:

    • Click Registration records to download main records.

    • Click Include guest records to add guest data.

    • Click Financial transactions to download payment activity.


The registration reports menu offers comprehensive insights into your event’s financials, registrant activity, and system usage. Use built-in drill-down capabilities and export tools to stay informed, customize your reports, and share data as needed.
