Standard registration forms often require additional context to help you understand your audience. Profile Custom Fields allow you to gather event-specific details, such as professional interests or networking preferences, directly from your registrants. By using these custom fields, you can standardize data collection across multiple events and gain deeper insights for reporting and follow-ups.

How do I add Profile Custom Fields?

Creating custom fields involves defining the prompt, choosing the response format, and setting up the available answer choices for your attendees.

  • Open the Event Setup menu.

  • Once here, click Profile Custom Fields.

  • Click Add Profile Custom Fields

  • Label: Type the custom field as it should appear to registrants (e.g., "What is your primary area of expertise?").

  • Custom Field Code: Enter a unique identifier. Using the same code across different events allows you to compare data easily.

  • Format: Select how the user will answer, such as a Textbox, Dropdown, or File.

Create answer values

If you chose a list-based format like a Dropdown or Checkboxes:

  • Click the Add Icon to create your first response field.

  • Type the response Value (e.g., "Marketing").

  • To allow an "Other" option, check the box to add a Textbox for that value.

  • Click and drag answers to reorder them, then click Save.


How do I edit existing ?

You can modify your custom fields at any time to update labels or add new response values as your event requirements evolve.

  • Go to the Event setup menu and select Profile Custom Fields.

  • Click on the specific custom field you wish to update.

  • The Edit Profile Custom Fields screen will open, allowing you to change the Label, Format, or Available Values.

  • Click Save to apply your changes across the registration site.


How to Import Profile Custom Fields Answers

Use the Import Profile Custom Fields Answers tool in Launchpad by Swapcard to upload answers to Profile Custom Fields in bulk. This saves time when managing dropdowns, radio buttons, or checkbox response options across large events or recurring forms.

Before you can upload your data, you must use the official system template to ensure the formatting matches the database requirements.

  • Still in the Profile Custom Fields menu

  • Click on the dropdown arrow then choose Import Custom Fields Answers.

  • Click Download Profile Custom Fields Answers Template located under the Upload CSV field.

  • When the prompt appears, click OK to open the file.

  • Fill in the Value (the text users see, like "Female"), Write In Required (type "yes" or "no" to allow "Other" options), and the Answer Code (a unique ID for reporting).

  • Note: Do not delete any columns from the template, even if they are empty. Save the final file in .CSV format.

Once your file is ready and saved correctly, you can move to the upload phase to apply these options to your Profile Custom Fields.

  • Click Browse next to the Upload CSV field in the import interface.

  • Select your saved CSV file from your computer.

  • Click Save to begin the upload process.

  • Once the process begins, you will be automatically redirected to the Profile Profile Custom Fields Answers Import Summary Report.

How do I review the import results?

It is important to verify that all data was accepted by the system. The summary report provides a detailed breakdown of the upload's success.

  • The Summary section displays the total count of successful and failed rows.

  • Under Downloads, you can access the All Import Rows report for a full log or Error Import Rows to see only the entries that failed.

  • Reports are available in both XLS and CSV formats.

  • To view data from a previous session, use the Previous Imports dropdown menu to select an upload by its date.


Can I delete Profile Custom Fields ?

To maintain data integrity, the system prevents the deletion of Profile Custom Fields that are currently being used in active workflows or records.

  • You can only delete unused Profile Custom Fields . A Profile Custom Fields cannot be deleted if it is linked to a page builder page, a saved report/email, or a saved registrant response.

  • To remove an eligible Profile Custom Fields click the Delete icon located next to the Profile Custom Fields.

  • Confirm the action by clicking OK in the pop-up dialog box.
