Create and manage Guest Types

Organize attendee companions by defining specific categories like spouses, children, or colleagues to streamline your registration workflows.

Updated over a week ago

Guest types allow you to categorize the individuals who join your primary registrants, ensuring each guest is handled with the correct rules and pricing. By setting up these distinct labels, you can control which options are visible to the public and how guest data appears in your reports. This structured approach helps in providing a tailored experience for families, business partners, or staff companions alike.

How do I add guest types?

Creating specific labels for your guests is the first step in organizing your secondary attendee data and applying targeted registration logic.

  • Open the Event Setup menu.

  • Once here, click Registration.

  • Click Guest Types to open the management screen.

Creating a new label

  • Select Add Guest Type from the Actions dropdown menu.

  • Type: Enter the name of the category (e.g., Spouse, Child, or Colleague).

  • Visible to public: Check this box if you want registrants to see and select this type on the public site. Leave it unchecked if this label is for internal admin use only.

  • Click Save.

How do I edit or reorder guest types?

As your event needs change, you can update existing labels or adjust the order in which they appear to your registrants on the front end.

Modifying existing types

  • Click the Edit icon next to any guest type name.

  • Update the name or visibility settings as needed.

  • Click Save to apply your changes.

Organizing the display list

  • Select Set Display Order from the Actions dropdown menu.

  • Hover your mouse over a guest type.

  • Click and drag the item into your preferred position.

  • Click Save to lock in the new sequence for the registration site.

How do I delete a guest type?

To maintain data integrity, the system requires that a guest type be completely unused before it can be removed from your event.

  • Ensure the type is not assigned to any registrants, linked to ticket types, or used in active filters.

  • If the type is in use, you must first navigate to your registration records and replace it with a different guest type.

  • Once the type is cleared of all associations, click the Delete icon next to its name.

  • Click OK in the confirmation dialog box to remove it.

Effectively managing guest types ensures that every person associated with your event is correctly categorized for reporting and logistics. By defining clear labels and organizing their display order, you provide a more intuitive registration process for your primary attendees. Regularly auditing these types and removing unused categories keeps your administrative portal clean and ensures your badge assignments and pricing remain accurate for all guest profiles.
